The problem

Important business knowledge is often scattered—or kept in people’s heads.

Every search starts again

Teams lose time across email, Drive, WhatsApp, meeting notes and disconnected project tools.

Decisions lose their reasoning

The outcome may be recorded while the evidence, trade-offs and responsible person disappear.

Experience walks out the door

Founder, specialist and client knowledge becomes a continuity risk during growth, leave or succession.

What we build

One trusted place to find what your business knows.

  • A clear list of the information to include and who may see it
  • A simple structure for clients, projects, people, decisions and procedures
  • Searchable answers with links back to the original documents
  • Meeting notes, decisions and step-by-step procedures kept together
  • A named person responsible for keeping each area current
  • Plans for access, backups and taking your information with you
  • Staff guidance and regular improvements

We choose the tool after we understand the business. No single platform is right for everyone.

Find what matters

List the questions people ask, who knows the answers and which information is sensitive.

Agree how it should work

Decide how information is organised, who may see it and how you will know the tool is helping.

Build it

Bring in the most useful information first and test it with real questions.

Help the team use it

Show people how it works, name the owners and check whether it saves time.

Keep it useful

Review old information, access, costs and answer quality.

Straight answers

Questions people ask before starting

Is this just a Notion setup?

No. The work begins with business questions, sources, permissions and operating responsibilities. Notion may be appropriate in some cases; Microsoft 365, Google Workspace, a private retrieval layer or another platform may fit better.

Will AI be trained on our information?

That depends on the selected providers and contract. The assessment documents data handling, model-use terms, access, retention and deletion requirements before implementation.

Can it replace our staff?

The system is designed to preserve and make approved knowledge more useful. Any automated actions require a separately scoped workflow, defined limits and human approval where consequences are material.

Is it POPIA compliant?

No responsible provider should promise compliance from a product label alone. We build POPIA-aware controls and document decisions, while legal compliance remains subject to authorised review and the organisation’s actual operation.
