Privacy

Your enquiry should not become somebody else’s asset.

This notice explains what information EthicAI Consulting receives when you deliberately contact us, why we need it and what you can ask us to do with it.

01 · INFORMATION

What we may receive

Depending on the route you choose, this can include your name or business name, email address, WhatsApp number, service area, business type, the option or service you are interested in, your message, consent record and a reference number generated for the enquiry.

Our receiving systems may also process limited technical information needed for security and reliability, such as a privacy-preserving rate-limit key, request time and submission status.

Do not send identity documents, bank details, health information or confidential tender files through a general enquiry form or an unapproved upload route.

02 · PURPOSE

Why we use it

  • To respond to the enquiry you chose to send.
  • To assess fit, clarify requirements and prepare a scope or quotation.
  • To maintain a record of agreed communication and prevent duplicate or abusive submissions.
  • To operate and improve the reliability of our enquiry routes.
  • To meet a legal or contractual obligation where one applies.

We do not use an ordinary service enquiry as permission for unrelated marketing. A separate public-beta enquiry or application uses the consent wording shown on that specific form.

03 · ROUTES

Where the information goes

Website enquiries are received by EthicAI’s hosting and private enquiry receiver and may generate a notification to the authorised EthicAI mailbox. If you choose WhatsApp, your message is handled through WhatsApp under its own terms. If you choose email, it is handled by the relevant email providers.

We use service providers only where needed to host, secure, communicate or deliver the requested work. We do not publish your enquiry or provide it to data brokers.

04 · RETENTION

How long we keep it

We keep personal information only for as long as reasonably necessary for the enquiry, related work, dispute prevention or an applicable legal or contractual requirement. When the purpose ends and no lawful reason requires continued retention, the record should be deleted or de-identified.

A precise operational retention schedule must be maintained internally and reviewed as the enquiry and reporting systems change.

05 · YOUR CHOICES

Access, correction, objection and deletion requests

You may ask what personal information EthicAI holds about you, request correction, object to processing or request deletion where the law allows. Contact keith@ethicai.co.za or WhatsApp 063 601 0348. We may need to verify that the request relates to you before acting.
